About the Role: Caveon Test Security has a rich history of success and is firmly positioned as an industry leader in test security consulting. To expand client support, the Caveon Sales Operations team is seeking a highly motivated professional to join us as Department Coordinator. The person in the coordinator role will work alongside members of the Caveon sales team, directly supporting overall success and sales goal achievement. 

Location: Remote work with some travel for training and client engagement

Hours: Full Time at 40 hours/week (Category: Exempt)

Reports to: VP of Sales

Physical Demands: Minimal

Knowledge/Skills/Ability:

  • Executive administrative support (meeting coordination, agenda preparation, meeting minutes, travel arrangements, expense reporting, professional document preparation, events coordination, scheduling, etc.)
  • Expert professional written and verbal communications skills for use with prospects, clients, colleagues, partners, and company leadership
  • Meticulous attention to detail and documentation
  • Exceptional time management and organizational skills

General Summary of Responsibility:

  • Using CRM Sales Tracking Software
    • Distribute weekly sales updates and reconcile with CRM.
    • Deliver various sales reports to VP of Sales including Quarterly Scorecard, YTD Targets vs Actuals, and other ad-hoc reports upon request.
    • The ideal candidate would have CRM software experience and be able to demonstrate proficiency in using tracking tools to ensure that the sales team has visibility of 100% of their opportunities. Requires accurate and timely data input, as well as an understanding of how to build and deliver custom reporting for various stakeholders.
  • RFP Response & Contact Development Support
    • Collaborate with sales leadership and marketing on the viability of potential RFP responses.
    • Schedule meetings, distill conversations and dictation into text for responses, “Quarterback” responses, and synthesize into a single document and voice.
  • Calendar and Conference Support
    • Manage sales/marketing Outlook calendar, ensuring all events are visible and appropriately marked.
    • Send meeting requests on behalf of attending sales team members, and schedule meetings for the sales team at conferences.
  • Executive Assistance
    • Provide leadership with daily recap of known to-dos for the following day, including schedule highlights, appropriate background information, and other necessary data for success.
    • Coordinate and manage calendars and meeting requests, prepare agendas, and provide administrative support as necessary including drafting and distributing meeting minutes.
  • Administrative Management
    • Ensure contracts, proposals, and other relevant documentation are correctly filed with opportunities in CRM, other relevant locations, and with the correct operations groups/accounting/legal.
  • Monthly Billing
    • Support technology account manager as necessary to calculate monthly invoices for Technology clients and submit to appropriate authority (client/accounting) for approval and processing.

Education and Experience:

  • This position requires a minimum of 2 years of experience in an Executive/Administrative Assistant or similar Coordinator role with a track record of success in assisting a sales team meet annual sales targets.

Knowledge/Skills/Ability:

  • Strong Python skills
  • Mathematical/statistical skills including calculus, probability, and combinatorics
  • Creative problem solver who can think critically and develop data engineering solutions
  • Effective at communicating technical details remotely
  • Meticulous attention to detail and documentation
  • Ability to work independently within complex systems
  • Knowledge of C or C++, VB script or C# for automation within Microsoft Office, and the Windows operating system preferred
  • Data analysis and data visualization skills preferred

General Summary of Responsibility:

  • Write, launch, and monitor scripts for automated:
    • conversion of data formats,
    • processing of data, and
    • creation of Excel outputs based on the results
  • Meticulously verify data correctness and formatting
  • Collaborate remotely with clients and team members to understand data
  • Other duties and tasks as assigned

Education and Experience:

  • A minimum of 3 years of applied experience in distributed data processing, systems design, or other relevant area
  • Master’s degree in Computer Science or related STEM field preferred
